E-Credit Notes Under UAE E-Invoicing: Rules and Examples

Under UAE e-invoicing, a credit note is a structured e-credit note that references the original e-invoice and travels through your ASP like an invoice. Late or missing e-credit notes cost AED 100 each, capped at AED 5,000 per month.

Under UAE e-invoicing, an e-credit note is a structured electronic document that reduces or reverses a previously issued e-invoice. It must reference the original invoice, follow the PINT AE format and be transmitted through your Accredited Service Provider (ASP), exactly as the invoice was, with the data reported to the Federal Tax Authority. The rules for e-credit notes under UAE e-invoicing mirror the rules for e-invoices, including the penalty: not issuing or transmitting an e-credit note on time costs AED 100 per credit note, capped at AED 5,000 per month, under Cabinet Decision No. 106 of 2025. This article explains when you need one, how it should be built and what the numbers look like in practice.

Why credit notes get their own rules

Credit notes are how VAT systems handle the fact that invoices are sometimes wrong, goods are returned and prices change after the sale. Because a credit note reduces the VAT you owe, tax authorities have always required it to be documented properly and linked to the original invoice. E-invoicing makes that link mechanical. The e-credit note carries a reference to the original e-invoice, and both documents are visible to the FTA through the ASP network. The legal basis is the same pair of decisions that created the system, Ministerial Decisions No. 243 and 244 of 2025 from the Ministry of Finance; the penalties come from Cabinet Decision No. 106 of 2025 via the Federal Tax Authority. For the full picture of the system, see our complete guide to UAE e-invoicing.

When you must issue an e-credit note

  • Returned goods. A customer returns some or all of a delivery.
  • Price reductions after invoicing. A discount, rebate or settlement agreed after the invoice was issued.
  • Invoicing errors. Wrong quantity, wrong price, wrong customer or wrong VAT treatment on an issued invoice.
  • Cancelled supplies. A service invoiced but never delivered.
  • Duplicate invoices. The same supply invoiced twice; one is reversed in full.

In each case, the e-credit note is issued by the supplier, references the original invoice and states the amount and VAT being credited. If the correct position requires a new invoice as well (for example, the goods were invoiced to the wrong customer), you issue a full credit note and then a fresh e-invoice to the right customer.

What an e-credit note contains

An e-credit note uses the same PINT AE structure as an invoice, marked as a credit note document type, and typically includes:

ElementNotes
Credit note number and dateFrom its own sequential series or a shared series, depending on your system
Reference to the original invoiceInvoice number and date being corrected
Seller and buyer detailsIdentical to the original invoice, including TRNs
Lines being creditedDescription, quantity, unit price and VAT category per line
TotalsNet credited, VAT credited by rate, gross credited
ReasonA short description such as goods returned or price adjustment

The exact mandatory fields are defined by the PINT AE specification and validated by your ASP; our article on what PINT AE is explains how that validation works.

Worked examples at the 5% standard rate

Example 1: Partial return of goods

A trading company invoices a customer for goods worth AED 10,000 plus 5% VAT of AED 500, total AED 10,500. The customer returns goods worth AED 2,000. The e-credit note shows net AED 2,000, VAT AED 100, total AED 2,100, and references the original invoice. The customer now owes AED 8,400 against the original invoice.

Example 2: Discount agreed after invoicing

A consultancy invoices AED 20,000 plus AED 1,000 VAT. After delivery the parties agree a 10% goodwill reduction. The e-credit note shows net AED 2,000, VAT AED 100, total AED 2,100, with the reason recorded as a post-invoice discount.

Example 3: Wrong customer

An invoice for AED 5,000 plus AED 250 VAT is issued to Company A but the supply was to Company B. Issue a full e-credit note to Company A (net AED 5,000, VAT AED 250) and a new e-invoice to Company B for the same amounts. Both documents travel through the ASP.

Example 4: Mixed rates

If the original invoice had standard-rated and zero-rated lines, the credit note credits each line at its own rate. Never apply a blended percentage to the total; the ASP's arithmetic checks will reject a credit note whose VAT does not match its lines.

Timing and penalties

The e-credit note must be issued and transmitted on time; otherwise the penalty is AED 100 per credit note, up to AED 5,000 per month, counted separately from the identical e-invoice penalty. Fifty late credit notes reach the cap, which a retailer with a busy returns desk can produce in a weekend. Because the FTA receives both the invoice and the credit note data through the ASP network, a credit note that sits unissued in a drawer also leaves your reported sales overstated until it is sent. Our breakdown of UAE e-invoicing penalties covers the full table.

How your software should handle credit notes

  1. Lock issued invoices. No editing or deleting after transmission; the only path is a credit note.
  2. Create from the original. A credit note should be raised from the invoice screen, pre-filled with the original lines, so the reference and the rates are always right.
  3. Allow partial lines and quantities. Returns are rarely for the whole invoice.
  4. Transmit automatically. The credit note goes to the ASP the moment it is finalised, and its status is shown next to the invoice.
  5. Handle POS returns natively. For shops and restaurants, the return function in the POS should generate the e-credit note without any back-office step. Our guide to VAT-ready retail POS covers this.
  6. Keep the trail. Store the invoice, credit note, ASP responses and user actions together, inside the UAE, for the required retention period.

Frequently asked questions

What is an e-credit note under UAE e-invoicing?

An e-credit note is the structured electronic equivalent of a tax credit note. It reduces the value and VAT of a previously issued e-invoice, references that invoice, follows the PINT AE format and is transmitted through your Accredited Service Provider in the same way as an e-invoice, with the data reported to the Federal Tax Authority.

Can I just cancel or edit an e-invoice instead of issuing a credit note?

Once an e-invoice has been transmitted through your ASP it is a record, and the correct way to reduce or reverse it is an e-credit note that references it. Editing or deleting issued invoices in your system creates a mismatch between your records and what the FTA has received. Good software locks issued invoices and offers a credit note instead.

What is the penalty for a late e-credit note?

Under Cabinet Decision No. 106 of 2025, not issuing or transmitting an e-credit note on time costs AED 100 per credit note, with a maximum of AED 5,000 per month. This is counted separately from the identical penalty for e-invoices, so a business with many returns needs to treat credit notes as seriously as sales.

How do I handle a partial return or a discount agreed after invoicing?

Issue an e-credit note for the returned items or the discount amount only, with VAT calculated at the same rate as the original lines, and reference the original invoice. For example, a return of AED 2,000 of standard-rated goods produces a credit note of AED 2,000 plus AED 100 VAT at 5%. Do not reissue the whole invoice.

Do retail returns through a POS need e-credit notes?

Yes, if the original sale was an e-invoice within the system, the return should be documented by an e-credit note transmitted through your ASP. For shops with frequent returns this is a volume consideration: your POS must generate the credit note automatically and link it to the original receipt so that no manual step is needed.
